BUILDING USE POLICY

I. Purpose of This Policy

With an increasing number of activities and groups here at Sunset Ministry, we thank you for following the guidelines of this policy to assist groups using the church facilities. We want to avoid any potential scheduling conflicts and to establish standards for usage and clean up. Because this is our church facility, we must each do our part. Thank you for your cooperation.

II. Steps/Requirements For Application For Building Use

A. Fill out an application and submit it to the church Office IN-FOLDER. The application must be returned at least 1 MONTH prior to the event. Please note: Use of the Sound System also requires an additional form filled out and submitted, and is subject to approval by the Sunset Ministry Sound Team. We will respond within 3 business days if the application is approved or if there is a conflict.

B. The facilities are not available if there is a major church function on that day.
Sunset Ministry events always have priority.

C. Only Sunset Ministry Members and Regular Attenders (6 months or more) are eligible to reserve the facilities for non-church events. Outside groups must receive special approval from the staff. The decision of the office is final.

D. A love donation of $50 is suggested when reserving the facilities for a non-church function, to help off-set the cost of utilities. Outside groups (approved by the staff) require a $100 room usage fee to be included when filing the application.

E. For non-church events, a cleaning deposit ($125) is requested when filing the application. The deposit will be returned if the guidelines have been adhered.

III. General Guidelines for Building Usage

We hope that those who use our facility would strive to leave it in better condition than when they found it. Because multiple groups use each room, if furniture is moved, we expect everything to be returned to its original location. When using the following rooms listed below, please cooperate by checking each of the following items.

A. Worship Center (Capacity: 140 people):

1. Chairs put back in place and tables put away.
2. Return/Put back all borrowed items.
3. All paper products and food removed and placed in trash.
4. Recycle all items that can be recycled.
5. Use carpet sweeper on carpet. (Vacuum the floor only if you spilled or soiled the carpet.)
6. All decorations taken down and thrown away.
7. Throw out all garbage to the cans outside the church.
8. Turn off lights, close windows and make sure doors are shut & locked.

B. Fellowship Hall and Kitchen (Capacity: 50 people):
1. All food must be removed from refrigerator. Please do not expect someone else to eat your leftovers.
2. Wash all items used and return them to their appropriate cupboards.
3. Counter space should be wiped and cleared.
4. Chairs put back in place and tables put away.
5. Recycle all items that can be recycled.
6. Sweep & Mop the Floors (If you spilled and dropped food.)
7. Make sure stove/oven is turned off.
8. All decorations taken down and thrown away.
9. Throw out all garbage to the cans outside the church.
10. Turn off lights, close windows and make sure doors are shut & locked.

C. The Nursery (For children use only):
1. Toys picked up off floor and put away into shelves.
2. Tables wiped.
3. Use carpet sweeper on carpet, sweep and mop hard floor (As needed).
4. All decorations taken down and thrown away.
5. Throw out all garbage to the cans outside the church.
6. Turn off lights, close windows and make sure doors are shut & locked.

D. Upper Rooms A & B (Capacity: 15 people each):
1. Tables wiped and chairs tucked under the tables.
2. Chalk boards and white boards cleaned.
3. Use carpet sweeper on carpet.
4. All decorations taken down and thrown away.
5. Throw out all garbage to the cans outside the church.
6. Turn off lights, close windows and make sure doors are shut & locked.

E. The curfew is 11:00 PM. Also we request that there be no excessive loud noise in respect for our neighbors.

F. Smoking, drugs, and alcoholic beverages are not allowed in and around the church premises.

G. In the event that guidelines are not adhered to, items are lost or broken, or facilities not returned to acceptable standards, your cleaning deposit will be lost.

H. If there is excessive damage to property belonging to the church, on the day of your function, you will be fined accordingly.

I. Though we have part-time janitorial assistance, please do not expect anyone to clean-up after you. Thanks for doing your part in keeping our facilities clean.

J. In consideration of the church congregation, for outside private events on Sundays, the church building will not be available for setup until after 2:00pm pending availability.
